About this Policy
This Privacy Policy describes how Deep Learn Studios ("Studios," "we," "us," or "our") collects, uses, and shares information when you visit our website at deeplearnstudios.ai (the "Site"), engage us for AI development services, or otherwise interact with us. Deep Learn Studios is a division of Deep Learn Institute, which operates within T. James Enterprises Inc.
By using the Site or engaging Studios for services, you agree to the terms of this Policy. If you do not agree, please do not use the Site or engage our services.
We collect basic information when you contact us, hire us, or visit our website. We use it to deliver our services, communicate with you, and improve what we do. We don't sell your data. We're careful with the data clients trust us with during engagements, and we treat AI model training data separately from your business data. You have rights over your information, and you can contact us anytime.
Who We Are
Deep Learn Studios is the AI development services division of Deep Learn Institute, a division within T. James Enterprises Inc. We design, build, and deploy custom AI systems for small businesses, mid-market companies, and enterprises.
For purposes of data protection law:
- Controller of website data and general business contacts: Deep Learn Institute (a division of T. James Enterprises Inc.).
- Processor of client engagement data: When we build AI systems for clients, we typically process client-provided data on the client's behalf as a service provider or data processor, subject to the terms of our engagement agreement.

Information We Collect
Information you provide directly
When you contact us, request a proposal, book a discovery call, or engage our services, we collect information you provide such as:
- Name, email address, phone number, company name, role, and other contact details
- Information about your project, business needs, technical requirements, and goals
- Billing, invoicing, and payment information (processed through third-party payment processors; we do not store full payment card numbers)
- Communications you send to us (email, chat, messages, support requests)
Information collected automatically
When you visit the Site, we and our service providers may collect:
- Device and browser information (browser type, operating system, screen resolution)
- IP address and approximate location derived from it
- Pages viewed, time on page, referring URLs, and similar usage analytics
- Cookies and similar technologies (see Section 11)
Information from third parties
We may receive information about you from third parties, including business directories, marketing data providers, social media platforms (when you interact with us there), and integration partners (for example, calendar services when you book a call).
How We Use Information
We use the information we collect to:
- Respond to inquiries, deliver proposals, and communicate about potential or active engagements
- Provide, maintain, and improve our services
- Process payments and manage billing
- Send service-related communications (project updates, security notifications, contract documents)
- Send marketing communications about Deep Learn Studios and Deep Learn Institute, where permitted by law (you can opt out anytime)
- Improve the Site, our content, and our service offerings
- Comply with legal obligations, enforce our agreements, and protect our rights
- Detect, investigate, and prevent fraud, abuse, or security incidents
Our lawful bases for processing personal data (where applicable under GDPR or similar regimes) include: performance of a contract with you, our legitimate interests in operating and growing our business, your consent (which you may withdraw), and compliance with legal obligations.
Client Data & Engagements
When a client engages Studios to design, build, or deploy an AI system, we typically receive access to client data — documents, knowledge bases, customer records, transcripts, code, or other materials necessary to perform the work. We treat this data with strict confidentiality and process it on the client's behalf under the terms of the engagement agreement.
What we do with client data
- Use it solely to perform the contracted services
- Restrict access to the Studios team members who need it to do the work
- Apply technical and organizational safeguards appropriate to its sensitivity
- Return or delete it at the end of the engagement, except where retention is required by law or specifically agreed
What we do NOT do with client data
- We do not sell client data
- We do not use client data to train our own AI models or improve services for other clients, unless explicitly permitted in the engagement agreement
- We do not share client data with third parties except subprocessors strictly necessary to deliver the services (cloud hosting, model API providers, payment processors), and only under contractual obligations to protect the data
If your engagement involves protected health information (HIPAA), financial data (GLBA), student records (FERPA), or other regulated data, we will execute a separate Business Associate Agreement, Data Processing Addendum, or equivalent before any such data is shared with us.
AI Systems & Model Training
We build AI systems on top of third-party foundation models (such as those provided by Anthropic, OpenAI, Google, and open-source providers) as well as proprietary integrations and fine-tuned models. Several important points about how data flows in these systems:
Third-party model providers
When the systems we build use third-party models, inputs and outputs may transit through those providers' APIs. We select model providers whose enterprise terms align with strong data protection commitments — for example, providers who do not train on API inputs by default. We disclose to clients which providers a given system uses and provide links to each provider's data handling terms during the engagement.
Fine-tuning and customization
When an engagement involves fine-tuning a model on client data, the resulting fine-tuned model and its training data are treated as the client's confidential information and are not used for any other purpose.
Studios' own data practices
Studios does not train its own foundation models. We do maintain internal libraries of prompts, evaluation rubrics, and methodologies, which may incorporate non-identifying patterns from our work — but never identifiable client content, customer data, or proprietary business information.
Inputs from website visitors and prospects
If you submit information through the Site (for example, in a contact form, demo request, or chat tool), that information is treated as described in this Policy. We do not feed Site visitor submissions into AI training datasets.
Data Security
We maintain administrative, technical, and physical safeguards designed to protect information against unauthorized access, alteration, disclosure, or destruction. These include:
- Encryption of data in transit (TLS) and at rest where supported by the underlying storage
- Access controls based on least-privilege principles, with multi-factor authentication required for systems handling client data
- Logging and monitoring of access to systems containing client data
- Vendor due-diligence for service providers handling personal or confidential data
- Regular review of our security posture and incident response procedures
No method of transmission or storage is 100% secure. If we become aware of a security incident affecting your information, we will notify you and applicable authorities as required by law.
Data Retention
We retain personal information only as long as needed for the purposes described in this Policy or as required by law:
- Prospect inquiries: retained for up to 24 months from last contact, unless you ask us to delete sooner
- Client engagement records: retained for the duration of the engagement and a reasonable period thereafter (typically 7 years for tax, accounting, and legal compliance), unless otherwise agreed
- Client-provided data processed during engagements: returned or deleted at engagement end per the engagement agreement
- Website analytics: retained in aggregated form for up to 36 months
- Marketing list data: retained until you unsubscribe, then suppressed but not deleted to prevent re-mailing
Your Rights
Depending on your location, you may have rights with respect to your personal information, including:
- Access: request a copy of the personal information we hold about you
- Correction: ask us to correct inaccurate information
- Deletion: request that we delete your information, subject to legal retention requirements
- Portability: request a copy of certain information in a portable format
- Restriction or objection: ask us to limit or stop certain processing of your information
- Withdraw consent: where we rely on consent, withdraw it at any time
- Opt out of marketing: unsubscribe at any time using the link in any marketing email
- Complaints: lodge a complaint with your local data protection authority
To exercise these rights, email privacy@deeplearninstitute.ai. We respond within 30 days, or such other period as required by applicable law. We will verify your identity before fulfilling certain requests.
California residents
California residents have additional rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA), including the right to know what personal information we collect, sell, or share, and the right to non-discrimination for exercising rights. We do not sell personal information for monetary consideration. To exercise California-specific rights, use the same contact email above.
EU/EEA, UK, and Swiss residents
You have rights under the GDPR (or the UK or Swiss equivalent) including those above. Our lawful bases for processing are described in Section 4. You may also lodge a complaint with your local supervisory authority.
Children's Privacy
The Site and our services are not directed to children under 16. We do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information, please contact us so we can delete it.
International Transfers
We are based in the United States. Information we collect may be transferred to, stored in, and processed in the United States and other countries where we or our service providers operate. When we transfer personal information out of the EU/EEA, UK, or Switzerland, we use legal mechanisms such as Standard Contractual Clauses and supplementary measures where required.
Changes to this Policy
We may update this Privacy Policy from time to time. Material changes will be communicated by updating the "Effective" date at the top of this Policy and, where appropriate, by notice to active clients or prominent notice on the Site. Your continued use of the Site or our services after the update means you accept the revised Policy.
